Enterprise Resource Planning (ERP)

AU is collaboratively defining our new Enterprise Resource Planning (ERP) system, Workday.

Workday has been selected as the new ERP system for Human Resources, Payroll, Finance, and Budget functions across the university to replace our current system, Colleague by Ellucian. The ERP is the core system to manage the day-to-day operations and critical administrative functions of the university.

Workday’s best in class system provides a user-friendly experience that is optimized for use on mobile devices. It enables easy access to data and analytics, which will support both our daily work and strategic decision-making. As a cloud-based system, Workday is scalable, designed to adapt over time, and focused on performance, reliability, and security.

Replacement of AU’s administrative systems will begin in August 2022 with a planned go live date of January 2024.

Vision Statement

American University’s Workday ERP System implementation will enhance efficiency and the user experience for faculty, staff, and students using AU’s information technology systems. The Workday implementation will create a strong foundation of standardized, integrated, and effective HR and financial systems and processes that provide accurate, timely, and relevant information.

Simplify and standardize processes by using delivered functionality whenever possible to provide user friendly tools that will enable transparency and accuracy and support compliance requirements.

Design Beyond Implementation

Enable an enduring and scalable ERP system that considers current and future cross-functional needs across American University.

Avoid Replicating Legacy Processes

Embrace change and design forward looking processes that incorporate established best practices to deliver a system that provides users with the ability to access the right information at the right time.

Respect One Another and Foster an Environment of Collaboration and Transparency

Break down siloes and empower the project team to work together to make thoughtful, deliberate, and timely decisions that will be proactively communicated to prepare the campus community for future changes.

The AU +Workday Change Network is a group comprised of over 90 staff members. The Change Network influences the success of the AU + Workday implementation by:

  • Supporting and socializing the change within their unit.
  • Delivering targeted peer-to-peer communications and project updates.
  • Driving awareness, engagement, and user adoption.
  • Supporting peers and colleagues through the change and post-go-live.

Our partnership involves Human Resources, Payroll, Finance, and Budget—collaborating together to support this initiative.

  • Payroll Deadlines
    • Dec. 6: Biweekly timesheets for the pay period November 25 – December 8 must be approved by managers.
    • Dec. 15: Biweekly timesheets for the pay period December 9 – 22 must be approved by managers.
    • Dec. 15: Monthly leave reports for the pay period December 1 – 31 must be approved by managers.
  • Workday Go Live
    • January 2nd 2023
